By creating an account, subscribing, accessing, or using YourAILedger, you agree to these Terms of Service, our Privacy Policy, Billing Policy, Data Retention Policy, Security Policy, and any other policies linked during checkout or inside the platform. If you do not agree, please do not use YourAILedger.
Yourailedger.com (“Yourailedger.com,” “YourAILedger,” “we,” “us,” or “our”) provides the YourAILedger software product for bookkeeping organization, operational tracking, owner controls, AI-assisted summaries, reminders, reports, imports, exports, and workflow visibility for inventory-based businesses.
YourAILedger may help users organize and review information related to: customers, orders, payments, expenses, products, inventory, suppliers, containers, shipping, commissions, employee records, payroll-related settings, tax reminders, bank reconciliation, owner approvals, audit trails, reports, and expert support requests.
YourAILedger is designed to help business owners see what needs attention, what should be reviewed, and what actions may help protect cash flow.
YourAILedger is not a CPA firm, law firm, payroll provider, bank, tax advisor, financial advisor, or payment processor.
YourAILedger does not provide legal, tax, CPA, payroll filing, trust accounting, banking, or financial advisory services.
Any information, summaries, alerts, reports, AI suggestions, tax reminders, payroll estimates, payment reminders, or recommendations provided by YourAILedger are for informational and organizational purposes only. You are responsible for reviewing all information and verifying financial, tax, payroll, legal, and compliance matters with qualified professionals.

You agree not to upload information unless you have the right to use, store, process, or share that information inside YourAILedger.
You are responsible for all activity that occurs under your account, including activity by employees, bookkeepers, contractors, admins, or other users you invite.
YourAILedger is offered as a monthly subscription with four pricing tiers: Starter ($29/month), Professional ($59/month), Gold ($99/month), and Enterprise ($199/month).
Your subscription begins immediately after checkout. Billing is recurring and continues monthly unless cancelled according to the Billing Policy. You can upgrade anytime and only pay the monthly difference.
By subscribing, you authorize YourAILedger and its payment providers to charge your selected payment method for recurring subscription fees, applicable taxes, and any approved add-on services.
YourAILedger may use third-party payment providers such as PayPal, Stripe, or other secure processors. YourAILedger does not store raw credit card numbers, PayPal passwords, bank passwords, or full payment credentials.
You can upgrade your subscription plan at any time. When you upgrade, you only pay the monthly difference between your current plan and the new plan.
Your data stays in place when you change plans — no data is lost during upgrades or downgrades.
If a payment fails, YourAILedger may provide a limited grace period to allow the subscriber to update payment and restore access. Complete details are provided in the Billing Policy.
You may cancel your subscription according to the Billing Policy.
Cancelling stops future billing. It does not automatically delete your business data.
Unless otherwise stated or required by law, cancellation does not create a refund for time already paid.
After cancellation, you may continue to access paid features until the end of your paid billing period. After paid access ends, your account may move into export-only access during the data retention period.
YourAILedger may allow selected users to access the platform through beta, founder, internal test, or complimentary access.
Beta or complimentary access may be limited, temporary, changed, revoked, or ended at any time.
Beta users may experience incomplete features, test data, errors, downtime, or changes before public release.
Complimentary access does not guarantee future free access, lifetime access, or access to all paid features.
You own the business data you create, upload, import, or store in YourAILedger.
YourAILedger does not claim ownership of your customer lists, order records, product records, inventory records, supplier records, payroll-related records, reports, documents, or business data.
You give YourAILedger permission to process, store, organize, display, analyze, export, and use your data as needed to provide the platform, support your account, improve reliability, and operate the services you request.
While your subscription is active, your data remains available through your account, subject to these Terms and our policies.
After paid access ends, YourAILedger may retain your data for up to 12 months so you can export your records or renew your subscription.
During this period, your account may be placed into export-only access. Export-only access allows you to sign in and export available records, but it does not include full platform use.
After the retention period ends, YourAILedger may delete, archive, or anonymize your data according to the Data Retention Policy, unless a longer period is required by law or needed for legitimate business purposes.
You are responsible for exporting any records you need before the retention period ends.
YourAILedger may include AI-assisted summaries, alerts, recommendations, categorization suggestions, report explanations, and workflow suggestions.
AI outputs may be incomplete, outdated, inaccurate, or unsuitable for your business situation.
You must review and approve all AI-generated information before relying on it or taking action.
YourAILedger does not guarantee that AI-generated summaries, reports, calculations, alerts, or recommendations are accurate or complete.
YourAILedger may help organize payroll-related records, deduction settings, paycheck estimates, tax reminders, filing due dates, state portal links, and CPA-ready reports.
YourAILedger does not run payroll, file taxes, provide payroll compliance advice, provide tax advice, or guarantee tax or payroll accuracy.
All payroll, tax, withholding, deduction, filing, payment, and compliance decisions should be verified with a qualified payroll provider, CPA, tax professional, or attorney.
YourAILedger may include bank connection, payment approval, check, wire, ACH, or payment workflow features.
Unless connected to a verified payment provider, these tools may be organizational and approval-tracking tools only.
If live payment providers are connected, payments may be handled by third-party processors, banks, or payment services. Their terms, fees, and processing rules may apply.
You are responsible for verifying: payee information, bank details, payment amounts, approval settings, payment timing, linked bills or invoices, user permissions, and release authorization.
YourAILedger is not responsible for incorrect payment instructions entered by users, unauthorized user activity caused by poor account security, third-party provider failures, bank delays, or payment errors outside YourAILedger's reasonable control.
YourAILedger may offer access to independent experts, such as CPAs, bookkeepers, payroll specialists, tax professionals, consultants, or other service providers.
Experts are independent providers. They are not employees of YourAILedger.
YourAILedger does not guarantee any expert's advice, results, credentials, availability, response time, or professional outcome.
Users are responsible for choosing experts, reviewing pricing, approving data sharing, and deciding whether to rely on expert guidance.
Experts are responsible for their own licensing, credentials, professional obligations, insurance, taxes, and compliance with applicable rules.
YourAILedger may charge platform, service, or marketplace fees related to Expert Network activity.
If you choose to share information with an expert, you control what is shared.
YourAILedger may allow: screen sharing, selected report sharing, document sharing, CPA packet sharing, temporary view-only access, and temporary account access with limits.
You are responsible for choosing what to share and confirming that you are authorized to share it.
Temporary access may be logged in the audit trail. You should revoke access when it is no longer needed.
YourAILedger uses reasonable technical, administrative, and organizational safeguards designed to protect account and business information.
Security protections may include access controls, audit logs, encryption where supported, restricted administrative access, role permissions, and secure third-party payment processing.
No system is completely secure. YourAILedger cannot guarantee that unauthorized access, data loss, downtime, errors, or security incidents will never occur.
You are responsible for using strong passwords, protecting login credentials, limiting user access, and promptly reporting suspected unauthorized access.
YourAILedger may log important account and business activity, including: logins, record changes, deleted records, exports, payment status changes, inventory adjustments, commission changes, payroll-related changes, tax setting changes, bank connection changes, user role changes, owner approvals, and expert access activity.
Audit logs are intended to support visibility, accountability, and review. YourAILedger does not guarantee that every possible action or event will be captured in every circumstance.
YourAILedger may integrate with or link to third-party services, such as: PayPal, Stripe, QuickBooks, bank connection providers, payment processors, payroll providers, email providers, hosting providers, analytics tools, state tax portals, and expert service providers.
Third-party services are governed by their own terms and privacy policies.
YourAILedger is not responsible for third-party service outages, errors, fees, security practices, policy changes, or decisions.
You agree not to use YourAILedger to:
YourAILedger may suspend or terminate accounts that violate these rules or create risk for the platform, users, or business.
YourAILedger owns the platform, software, design, branding, website content, workflows, templates, graphics, code, and related materials.
You may not copy, reproduce, sell, resell, license, reverse engineer, or exploit YourAILedger's software or materials without written permission.
Your business data remains yours.
YourAILedger aims to provide reliable service, but we do not guarantee uninterrupted access.
The platform may be unavailable due to maintenance, updates, outages, security issues, third-party failures, internet problems, or events outside our control.
YourAILedger may update, change, remove, or improve features over time.
YourAILedger does not guarantee: increased revenue, recovered money, fraud prevention, bookkeeping accuracy, tax compliance, payroll compliance, accounting accuracy, successful payment collection, successful expert outcomes, uninterrupted service, error-free reports, or error-free AI outputs.
YourAILedger provides tools to help organize, review, alert, and track. Final decisions remain the user's responsibility.
To the maximum extent allowed by law, YourAILedger and its owners, officers, employees, contractors, partners, and agents will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages.
This includes, but is not limited to: lost profits, lost revenue, lost business, lost data, business interruption, tax penalties, payroll penalties, accounting errors, payment errors, third-party provider failures, expert service outcomes, unauthorized account activity, and reliance on AI-generated information.
To the maximum extent allowed by law, YourAILedger's total liability for any claim will not exceed the amount you paid to YourAILedger in the 12 months before the claim arose.
If you used YourAILedger without paying, YourAILedger's total liability will not exceed $100.
Some jurisdictions do not allow certain limitations, so some of these limits may not apply to you.
You agree to defend, indemnify, and hold harmless YourAILedger, its owners, officers, employees, contractors, partners, and agents from claims, damages, losses, liabilities, costs, and expenses, including reasonable attorney fees, arising from:
YourAILedger may suspend, limit, or terminate access if: payment fails, subscription ends, account activity creates security risk, user violates these Terms, user misuses the platform, required information is false or incomplete, legal or regulatory concerns arise, or continued access may harm YourAILedger, users, or third parties.
After termination, certain sections of these Terms will continue to apply, including ownership, disclaimers, data retention, limitation of liability, indemnification, and dispute terms.
YourAILedger may update these Terms from time to time.
If we make material changes, we may provide notice by email, in-app message, website notice, or another reasonable method.
Continued use of YourAILedger after updated Terms become effective means you accept the updated Terms.
These Terms are governed by the laws of the State of Delaware, without regard to conflict-of-law rules, unless applicable law requires otherwise.
Any dispute must be brought in the state or federal courts located in Delaware, unless another venue is required by applicable law.
